This policy describes how Verity Builders LLC, operating as Verity Builders NW ("we," "us," or "our"), handles personal information through veritybuildersllc.com, our roof estimate tool, and related project inquiries. It does not replace a project contract or the policies of independent services you choose to visit.
1. Information you provide
When you send a roof estimate request, we receive your name, email address, phone number, project address and city, and any optional notes. Your submission also includes the preliminary estimate and roof details: roof surface area, pitch, number of stories, and existing roofing layers. If you contact us by email or phone, we receive the information you provide in that conversation, which may include project photos, scheduling details, and correspondence.
Please provide only information relevant to your project. Do not submit Social Security numbers, payment-card or bank details, passwords, alarm or door codes, medical information, or other sensitive information through the estimate form. The form does not require these details and is not a credit application. Avoid sending photos that unnecessarily identify other people or disclose private documents.
2. How the roofing calculator works
The calculator first sends roof area, pitch, stories, and layer count to our website to calculate and display a preliminary price. Those inputs appear in the page URL and may be recorded in browser history and hosting logs. This calculation step does not ask for your name, email, phone number, or property address, and does not send an estimate inquiry to our team.
After a supported estimate is displayed, you may complete a separate contact form. Only when you press "Send estimate request" are the contact fields, project address, notes, roof inputs, and preliminary estimate submitted to Formspree for delivery to our team. Your contact fields are submitted in the form body rather than deliberately added to the calculator URL.
The calculator does not use Google Maps, satellite measurement, an address-based roof report, precise device geolocation, or a credit check. It uses the roof inputs you enter. The price is an automated preliminary calculation, not a binding quote, financing decision, project acceptance, or reservation. We review measurements, access, materials, and conditions before providing a final written scope and price.
3. Technical information and cookies
Our hosting and delivery providers may process technical information such as IP address, browser and device information, requested pages and URLs, access times, and security or error events to deliver and protect the website. Formspree may collect technical information associated with a submission and use spam-prevention or verification mechanisms.
We have not added advertising pixels or a visitor analytics tool to the current website. Hosting, security, and third-party services may use cookies or similar technologies under their own policies. Your browser can restrict cookies; doing so may affect third-party verification or form submission. This policy does not promise that every provider responds to browser "Do Not Track" signals.
4. Why we use your information
We use project information to respond to your inquiry, discuss your preliminary estimate, assess project suitability, arrange measurements or appointments, prepare proposals, and communicate about requested services. We may also use relevant records for administration, security, fraud prevention, resolving disputes, and meeting applicable recordkeeping obligations.
Sending an estimate request asks us to contact you about that project. It does not subscribe you to a marketing newsletter or authorize unrelated promotional calls or texts. If you do not want further inquiry follow-up, tell us using the contact details below. Essential communications about an active contract or a required legal matter may still be necessary.
5. Formspree and email delivery
Our roof estimate form uses Formspree, Inc. to accept and process submissions and route them to our business email. Submission records may also be stored in the Formspree account according to the account's settings and service terms. Our email provider, Google Workspace, processes and stores delivered messages and subsequent correspondence. Deleting an email alone does not necessarily delete a record held by another provider.
Read Formspree's privacy policy and Google's privacy policy for their practices. Providers may process information in the United States or other locations where they operate. Their policies and retention rules are separate from ours.
6. Sharing and service coordination
We do not sell website inquiry information or use it for targeted advertising. Information may be processed by providers that support website hosting, form handling, email delivery, security, and business administration. When needed for a project you request, relevant project information may be shared with a subcontractor, supplier, or other service professional involved in estimating, scheduling, or performing the work. We limit project sharing to information relevant to that purpose.
We may disclose information when required by applicable law or valid legal process, or when reasonably necessary to address fraud, protect safety, or establish, exercise, or defend legal claims. A business transfer may involve relevant records, subject to applicable law and privacy commitments.
7. Financing inquiries
The website's financing message invites you to ask about available options. It does not collect your credit score, run a credit check, or submit a lender application. If you choose to apply with a financing provider, that provider will explain its own application, privacy, credit-check, and approval terms. Do not send credit application details or financial credentials through our roof form or ordinary inquiry email.
8. Retention and deletion
We retain information as needed to handle inquiries, provide requested services, maintain necessary business records, and meet legal, tax, insurance, warranty, or dispute-related obligations. Retention varies with the record and whether an inquiry becomes a project. We do not promise a fixed deletion date for all records. Provider archives, logs, and backups may follow separate retention schedules.
You can ask us to delete an inquiry that is no longer needed. We will review the request, address records within our control, and coordinate with relevant providers where appropriate. Some information may need to be retained for an active project, a legal obligation, security, or a dispute; backups may not be immediately editable.
9. Your choices and privacy requests
You may browse without submitting a project inquiry. You can call or email instead of using the form, although those methods also create correspondence records. To request access to information you provided, a correction, deletion, or an end to optional follow-up, email contact@veritybuildersllc.com with the subject "Privacy request." Tell us the email address used for your inquiry and enough detail to locate it; do not include sensitive identity documents in the initial message.
We may need to verify that a request relates to your information before releasing or changing records. We will respond in accordance with applicable law. Privacy rights and exceptions depend on your location and whether a particular law applies. Where applicable, you may use an authorized agent or request a review of a denied request by contacting us at the same address. Nothing in this policy limits rights you have under applicable law.
10. Security
The website and form endpoint use HTTPS for transmission. Access controls and provider safeguards help protect information, but no internet transmission, email system, or storage service is completely secure. Please do not use the form to communicate sensitive information. Contact us if you believe an inquiry or related message has exposed information unintentionally.
11. Reviews, photos, and external links
The website displays selected public Google review excerpts and links to our Google Business Profile. Following a Google or other external link takes you to a service governed by its own policies. The roof form does not automatically publish your submission, contact details, notes, or estimate. Sending a project photo for assessment is not permission to publish it as a testimonial or project advertisement; we seek permission before using privately supplied customer content for that purpose.
12. Children
Our services and inquiry forms are intended for adults and are not directed to children under 13. We do not knowingly seek personal information from children under 13. If you believe a child has provided information, contact us so we can review and remove it where appropriate.
13. Policy updates and contact
We may update this policy when website features, providers, or information practices change. The updated policy will be posted here with a revised date, and additional notice will be provided when required.
